EduTrak Software is a U.S.-based education technology provider focused on K-12 school payments and operations. The company is headquartered in Bloomington, Minnesota, with offices in Boulder, Colorado.

EduTrak has been serving K-12 schools for over 30 years. The company originated in school food service in the early 1990s, when founder Carolyn Meinhart built one of the first computer-based point of sale systems for school cafeterias. From that foundation, EduTrak expanded over time to cover tuition management, student fees, childcare billing, athletics, and eCommerce, while keeping food service at the core.

EduTrak is independently owned. It is not private equity backed. The company serves hundreds of schools and districts across the United States, including public school districts, private schools, charter schools, and faith-based schools.

What EduTrak Does

EduTrak centralizes school payments and related operational workflows into a single platform. The core design principle is that families should have one login for everything their school uses, and administrators should manage everything through one system rather than a collection of disconnected tools.

On the family side, a parent logs into the EduTrak parent portal once and sees every balance, payment option, and document for all of their students. Tuition invoices, meal account balances, student fees, childcare billing, and activity registrations all live in the same place. Payments, auto-pay setup, and tax document downloads all happen without the parent needing to contact the school office.

On the administrative side, school business managers, food service directors, and childcare administrators work from the same underlying system. Reporting, reconciliation, and payment data consolidate in one place across every module a school has enabled.

Platform Modules

EduTrak is modular. Schools can start with one module and add others over time. Each module operates independently but shares the same parent account, student data, and payment infrastructure.

Supporting Tools

DataBridge

DataBridge is EduTrak’s student data sync engine. It pulls student and family records from the school’s Student Information System on a scheduled basis, keeping enrollment data, grade levels, school assignments, and free/reduced eligibility current across all EduTrak modules without manual imports.

QuickPay

QuickPay generates a QR code or payment link tied to a specific balance on a family’s account. Parents pay with Apple Pay, Google Pay, or a card without logging into the portal. Works across fees, tuition, and student accounts.

Checkmate

Checkmate is EduTrak’s childcare attendance kiosk tool. Parents check students in and out via a 6-digit PIN. Teachers manage attendance from a real-time dashboard. Attendance records feed directly into childcare billing.

FastTrak

FastTrak is EduTrak’s automated cafeteria checkout system. Students push their tray under the unit, items are detected, eligibility is checked, and the transaction processes with minimal staff involvement. Currently in limited beta.

ESC-1000

The ESC-1000 is the hardware unit that runs EduTrak’s cafeteria serving line software. The current software release is called Lotus. The previous version, still in use at many sites, is called Orchid.

The Total Lunchroom Suite

The Total Lunchroom Suite is a bundled food service offering that combines three components into a connected cafeteria workflow.

Each component works independently. Together they cover the full cafeteria workflow from planning to payment.

Student Information Systems

EduTrak integrates with a wide range of SIS platforms. PowerSchool has a native API integration with single sign-on, automatic student sync, and real-time eligibility updates. Other supported systems include:

Any SIS that can export student data in a standard file format can connect through DataBridge using CSV or API import modes.

Payment Infrastructure

All payments process through PCI-DSS compliant gateways provided by APT/Synovus, EduTrak’s parent company. Supported payment methods include credit cards, debit cards, ACH/eCheck, Apple Pay, Google Pay, and in-person card payments via the PAX A35 card reader. Processing fees are displayed to families before checkout. No bank change is required for schools adding EduTrak.

Who EduTrak Serves

EduTrak is used by K-12 public school districts, private schools, charter schools, and faith-based schools across the United States. Within those institutions, the primary users are school business managers, food service directors, childcare program administrators, and the families they support.

The platform is designed to scale from a single school using one module to a multi-site district running the full platform across every department. Schools can start with food service, fees, or tuition and add other modules as needed without switching platforms.

How EduTrak Differs from Other School Payment Platforms

Most school payment tools are built around a single function: a lunch payment app, a fee collection tool, or a tuition billing system. EduTrak’s origin in food service, combined with its expansion into every other area of school payments, means all of those functions share the same parent account, the same student data, and the same business office reporting.

The result is that a parent paying a lunch balance, a childcare invoice, and a field trip fee in the same session does it in one cart, with one payment method, in one transaction. For the school, that payment posts to the correct account codes automatically. There is no reconciliation across separate vendors.

EduTrak is also independently owned, which the company notes as a differentiator in terms of support responsiveness and customer relationships. Every EduTrak customer is assigned a dedicated Customer Success partner. Live support is available by phone and remote access Monday through Friday, 7am to 6pm CT.
